The confirmation ladder this role manages

Touch 1 (48 hours before): automated reminder sent via text or email. The VA reviews responses and flags non-replies for a personal follow-up.

Touch 2 (24 hours before): personal confirmation call or text from the VA. Unconfirmed appointments go to the escalation process.

Touch 3 (day of, for complex procedures): final check-in for crowns, implants, or long appointments where an unannounced cancellation has a larger production impact.

The VA manages responses, updates the PMS, and fills any gaps that open up.

What the ramp period looks like

Weeks 1 to 2: learning the PMS scheduling module, the confirmation platform, and the ASAP list process. Shadowing the current confirmation workflow.

Weeks 3 to 4: running the confirmation sequence independently under review. Beginning to manage the ASAP list.

By Day 60: owning the full scheduling function, including gap-fill and treatment plan appointment scheduling, independently.

What success looks like

No-show rate below the practice’s target (typically under 8 percent for established practices). Same-day cancellations filled within 30 minutes from the ASAP list at least 60 percent of the time. Every patient who accepts a treatment plan has their next appointment scheduled before leaving the practice. No gap in the next-day schedule is discovered after 5pm.

What this role is not

This role does not handle inbound new patient calls or inquiries, which require conversion-oriented communication and practice knowledge better suited to a patient communications VA. It does not make clinical decisions about scheduling sequence or appointment length, which are set by the clinical team and encoded in the appointment type rules.
