The role works three lists simultaneously: the recall due list (patients past their hygiene due date), the lapsed patient list (patients absent 18-plus months), and the ASAP list (patients ready to fill same-day or next-day gaps).
The role does not schedule appointments for new patients or handle inbound phone calls, which require different skills and systems.
Why recall requires a dedicated role
Recall outreach is a volume and cadence game. Every patient who should be called but is not called represents a hygiene appointment lost to a competitor, a different provider, or simple inertia. When recall outreach is assigned to a front desk team member who also answers phones and handles check-ins, it is the first task to be skipped on a busy day. A dedicated recall VA runs the system every day regardless of front desk volume.
Practices with a dedicated recall function consistently maintain higher hygiene schedule utilization. The economic impact is straightforward: a hygienist paid to produce but sitting in an empty chair is the most expensive form of open time in the practice.
What the ramp period looks like
Weeks 1 to 2: learning the PMS recall module, the practice’s communication platform, and the current outreach scripts. Reviewing the recall due list with the practice manager.
Weeks 3 to 4: running the recall due list independently under review. Beginning to work the lapsed patient list.
By Day 60: owning all three lists independently, reporting recall conversion rate weekly, and running outreach without daily supervision.
What success looks like
Hygiene schedule utilization above 85 percent consistently. Recall due list worked on a daily cadence with no patient going more than two contact attempts without an outcome logged. Lapsed patient list decreasing over time as patients are reactivated or formally dismissed. No patient with year-end benefits goes uncontacted before November.
What this role is not
This role does not make clinical recommendations or discuss clinical findings with patients. It does not handle billing questions or insurance disputes. If a patient raises a clinical concern during an outreach call, the role escalates to the clinical team rather than answering.
