A Verification Framework for Dental Support Providers

Quick answer

Label provider information by evidence level so practices can distinguish marketing claims, supplied documents, independent checks, and customer experience.

Provider information should never look more certain than the evidence behind it.

Use four evidence levels.

Provider-stated

The provider supplied the claim, but no supporting evidence has been reviewed. Display it clearly as self-reported.

Documented

The provider supplied a relevant document, such as a sample agreement, training record, contract, policy, or certification report. Confirm that the document applies to the service being considered.

Independently checked

Someone reviewed the evidence, checked dates and scope, and confirmed that the recorded field matches the document.

Customer-confirmed

A customer with relevant experience confirmed how the service worked after engagement. Record context, because an enterprise billing account may not predict the experience of a solo practice buying part-time support.

Claims that need careful checking

“Compliant,” “dental experienced,” “dedicated,” “replacement guaranteed,” and “24-hour coverage” can mean very different things.

Ask for the evidence that makes the claim specific:

  • The agreement template and training records
  • Number and type of dental clients plus a relevant reference
  • Written confirmation of whether the assigned person is shared outside the practice’s hours
  • Replacement conditions and expected time to replacement
  • The assigned team’s actual coverage, not the provider’s company-wide operating hours
  • Certification type, scope, and report date

Verify what matters first

Deep verification of every field is expensive. Start with the conditions that can disqualify a provider, then verify the fields most likely to change the shortlist.

Record who checked each item, when it was checked, the evidence used, and when it should be reviewed again. A verified claim without a date becomes an old claim surprisingly quickly.
