From Dental VA Requirement to Provider Shortlist

The provider search should begin with the completed role specification. The practice should not have to enter the same requirement twice.

Convert requirements into filters

Use required conditions sparingly:

  • The role’s patient-information and contractual requirements
  • The working window the provider must cover
  • The practice’s maximum weekly-hours commitment
  • Any engagement model the practice requires after professional advice

Use the remaining requirements as preferences:

  • Role experience
  • Dental knowledge depth
  • Practice-software familiarity
  • Required language
  • Management support
  • Device and workspace controls
  • Budget and what the price includes

Let evidence affect confidence

A close match supported only by provider claims should not appear as strong as a slightly narrower match with current evidence.

Do not hide this adjustment. Show the evidence level beside the field and explain how it affects the result.

Explain every match

For each shortlisted provider, show:

  • Why it matched
  • Where it is weaker than the requirement
  • Which fields remain unverified
  • Which required conditions excluded other providers
  • Which single change would produce more options

Near-misses are useful. A practice may decide that a 20-hour minimum matters less than a provider’s dental depth once it sees the tradeoff.

Keep the shortlist short

Two to four providers are enough for detailed review. A list of 40 moves the research burden back to the practice.

The final pack should include the role specification, the side-by-side comparison, questions generated from weak or unverified fields, contract terms to review, and a record of what was excluded and why.

A good shortlist does not claim to make the decision. It makes the remaining decision smaller, clearer, and easier to defend.
