Patient Communications Specialist VA
Dentist · Role
Quick answer
A remote specialist who owns inbound phone overflow, text message response, missed-call follow-up, and online review management as a dedicated patient-facing function.
What this role owns
The Patient Communications Specialist VA owns the inbound patient contact channels that are not physically present at the front desk: phone overflow, text messages, missed-call follow-up, and online review management. The role ensures that no patient inquiry goes unanswered and no missed call becomes a missed appointment.
This is the role that addresses one of the most expensive problems in dental practice: the new patient call that goes to voicemail, receives no callback, and converts to a competitor. A communications VA who handles phone overflow and text response gives the front desk the capacity to be present with patients in the office while inbound inquiries are managed remotely.
The missed-call text-back this role manages
Every missed call receives an automatic text within 60 seconds, triggered by the practice’s communication platform. The VA monitors the response thread and converts the inquiry into an appointment. Without a human monitoring the response, the automation captures contact but not the booking. This role provides the human layer that closes the loop.
What HIPAA-aware communication means for this role
This role operates at the boundary between patient communication and protected health information. All guidance below should be verified with the practice’s privacy officer or healthcare counsel.
The communications VA does not discuss diagnoses, treatment plans, or clinical findings in text messages or emails without secure channel confirmation. Review responses drafted by this role do not confirm or deny that the reviewer is a patient. Any clinical question raised in an inbound channel is routed to a licensed team member rather than answered by the VA.
The practice owner should review the HIPAA risk framework for patient communications before onboarding this role and confirm that the communication platforms in use have executed BAAs.
What the ramp period looks like
Weeks 1 to 2: learning the phone system, text platform, and the practice’s communication preferences. Shadowing current inbound call handling.
Weeks 3 to 4: handling text responses independently. Beginning to take phone overflow under review.
By Day 60: owning text response, phone overflow, and missed-call follow-up independently. Submitting review response drafts for approval on a weekly cadence.
What success looks like
Response time to inbound text messages under the practice’s SLA (typically under 10 minutes during business hours). Missed-call conversion rate tracked and improving month over month. No unanswered new patient inquiry older than one business day. Review responses drafted and queued within 24 hours of a review posting.
What this role is not
This role does not make scheduling decisions for complex or clinical appointments, which require knowledge of provider availability and procedure time. It does not handle patient billing disputes or insurance questions, which belong to the billing VA role. It does not post review responses without the owner’s or manager’s review and approval.
