The document covers financial flags, insurance verification status, unscheduled treatment for patients on tomorrow’s schedule, and a list of talking points for the huddle.
The clinical team arrives to a prepared document rather than pulling information in real time. The huddle covers decisions, not data retrieval.
The reporting package this role generates
Weekly: production versus goal, collection rate, no-show rate, AR aging summary.
Monthly: recall rate, unscheduled treatment value, new patient count, and any metrics the practice is tracking against a specific improvement target.
The Operations Support VA formats these reports and flags anomalies. The practice owner reviews the flagged items rather than reading every number.
What the ramp period looks like
Weeks 1 to 2: learning to pull reports from the PMS, understanding what numbers are being tracked and why, and reviewing the existing SOP library (or creating one if none exists).
Weeks 3 to 4: generating the morning huddle briefing and weekly reporting package independently under review.
By Day 60: owning all three core functions (briefing, reporting, SOP maintenance) independently. Beginning to flag anomalies without prompting.
What success looks like
Morning huddle briefing delivered to the team every morning before the first appointment. Weekly reporting package shared with the owner and manager on a consistent day each week. SOP library updated within one week of any process change. Practice owner spends less than 30 minutes per week on reporting and data retrieval.
What this role is not
This role does not make operational decisions. It surfaces information; humans decide what to do with it. It does not own patient communication or clinical scheduling. It does not write clinical documentation of any kind.
