What this prompt does

Before you hire a VA or delegate to a team member, you need to know which of your tasks are actually delegatable right now. Some are ready: they are routine, low-risk, and can be described in writing. Others need documentation before they can move. Others should stay with you. This prompt separates them in about ten minutes.

The prompt

I want to audit my own workload and identify what I can delegate. Here is how I typically spend my non-clinical time each week:

[Describe your typical week of administrative and management work. Include everything: reviewing reports, checking emails, handling insurance calls, staff questions, scheduling issues, follow-up on billing, vendor calls, social media, anything you do that is not direct patient care. Estimate rough time per task if possible. Do not worry about being precise, a paragraph is fine.]

- Do I have any team members who could take on more work right now? [yes / no / unsure]
- Do I have written processes for most of my recurring tasks? [yes / some / no]
- Am I considering hiring a VA or expanding a VA's role? [yes / no / thinking about it]

Please analyze my week and produce:
1. READY TO DELEGATE: Tasks that are routine, low-risk, and could be handed off with a written brief or short training call. Estimate weekly hours.
2. NEEDS DOCUMENTATION FIRST: Tasks I should keep for now, but that could be delegated once I document how I want them done. Note what documentation is needed.
3. SHOULD STAY WITH ME: Tasks that require my judgment, relationships, or authority and should not be delegated regardless of who is available. Note why.
4. HIGHEST LEVERAGE MOVE: The single task where delegating would free the most of my time or attention, and what the first step is.
5. ESTIMATED HOURS RECOVERABLE: If I delegated everything in category 1, how many hours per week would I get back?

How to use it

  1. Write your week description without editing. Two to four sentences per category of work is fine. The AI does not need it to be organized.
  2. Run the prompt.
  3. Focus on the “Needs Documentation First” list. These are the tasks where you have been saying “I should delegate this” but have not yet, usually because the process is not written down. That list is your documentation backlog.
  4. Use the “Highest Leverage Move” as your starting point, not the longest list.
  5. Run the delegation break-even calculator against any hire you are considering to validate the economics.

What to expect

Most practice owners who run this prompt discover that 30 to 50 percent of their non-clinical time is immediately delegatable with minimal documentation. The surprise is usually the “Should Stay With Me” list, which is shorter than expected. The tasks owners assume are irreplaceable are often replaceable once a process exists.
